REQUIREMENTS: A grade 12 certificate or equivalent. Knowledge of the Public Service Act and Regulations. Knowledge of the NPO services provision. Knowledge of relevant NPO Act, Regulations, Policies, and Guidelines. Knowledge of the Companies Act and the Trust Properties Controls Act. Knowledge and understanding of Batho Pele Principles. Knowledge and understanding of POPIA and PAIA. Knowledge of NPO Codes of Good Practices.

All shortlisted candidates for SMS posts will be subjected to a technical exercise that intends to test relevant technical elements of the job, the logistics of which will be communicated by the Department. Following the interview and technical exercise, the selection panel will recommend candidates to attend a generic managerial competency assessment (in compliance with the DPSA Directive on the implementation of competency-based assessments).

The competency assessment will test generic managerial competencies using the mandated DPSA SMS competency assessment tools. The successful candidate will sign an annual performance agreement, complete a financial disclosure form, and will also be required to undergo a security clearance. Candidates nominated for posts on salary levels 2 – 12 may be subjected to a competency assessment during the selection process. If the candidate is applying for an OSD post, certificates of service must be submitted on the date of the interview.

It is the applicant’s responsibility to have foreign qualifications evaluated by the South African Qualifications Authority (SAQA). Failure to submit the requested documents will result in your application not being considered. Personnel suitability checks will be conducted on shortlisted candidates, and the appointment is subject to positive outcomes of the checks.   • Log, track, and escalate complex technical problems to relevant IT support or vendors.

  • Install and configure new computer systems and applications for staff or volunteers.

2. Administrative Support

  • Maintain an updated record of all help desk queries and their resolutions.

  • Manage and update the internal help desk ticketing system or spreadsheet logs.

  • Assist in compiling monthly help desk reports for management review.

  • Monitor system performance and notify the relevant departments of potential disruptions.

3. User Training & Onboarding

  • Guide new staff, interns, or volunteers on using the NPO’s communication tools (e.g., email, Google Workspace, Microsoft Teams).

  • Create simple user guides or documentation to help with recurring issues.

  • Conduct brief training or awareness sessions on cybersecurity, file sharing, and data protection.

4. Communication & Client Service

  • Respond promptly and professionally to all help requests via phone, email, or in-person.

  • Provide friendly and patient customer service, especially when assisting non-technical staff or community members.

  • Escalate unresolved issues to the relevant technical or operational departments.

  • Serve as a liaison between the help desk and project teams when technical input is needed.

5. Resource & Asset Management

  • Maintain a list of IT and office assets (e.g., laptops, routers, mobile devices).

  • Track issued devices and ensure proper sign-in/out procedures.

  • Assist with procurement of small IT accessories (e.g., cables, keyboards, USBs).

  • Report damaged or lost equipment to management.

6. Data Protection & Confidentiality

  • Ensure that user data, passwords, and sensitive documents are kept secure.

  • Support the enforcement of the NPO’s data protection policies.

  • Alert managers to any suspected data breaches or information security risks.

7. Support to Programmes (if applicable)

  • Assist field teams with digital tools or apps used for project reporting or beneficiary registration.

  • Help community-based staff or external partners access online portals or forms.

  • Provide troubleshooting for mobile data collection tools like KoboToolbox or SurveyCTO.
